Digitizing your wine list means turning your PDF (or Excel file, or photo) into an interactive list that guests open by QR code at the table, or that your team uses on a tablet in the dining room. With Winevizer, expect 24 to 48 hours of setup, from €24.99 excl. VAT per month.

Why digitize your wine list in 2026

A paper wine list is still a mark of prestige in some fine-dining venues, but it creates several concrete operational problems: costly reprinting after every update, outdated prices or invisible stock-outs, no multilingual option, a list too deep for the average guest to use, and no data on what your guests actually look at. Digitizing does not replace the paper list, it extends it.

  • Instant updates: change a price, add a wine or flag a stock-out in real time, without reprinting 80 pages.
  • Native multilingual: an English-, Dutch- or German-speaking guest reads the list in their own language, with no manual translation on your side.
  • Virtual sommelier: personalized recommendations by food pairing or taste profile, especially useful for guests who are not wine experts.
  • Real stock: no guest is offered a bottle that is out of stock.
  • Analytics: you see which wines are viewed, which are ignored, at what times and in which language.
  • Printing savings: fewer paper lists to reprint with every price or vintage change.

How it works in practice (5 steps)

Step 1: send us your current list

You send us your existing wine list: PDF, Excel, CSV, or simply a photo of your paper list. No format is required. If you manage your cellar in your own Excel file, that works perfectly. If your list exists only on paper and you have no digital file, take 5 photos with your smartphone, that is enough.

Step 2: our team digitizes it (24 to 48 hours)

We combine OCR (text recognition on PDFs and photos) with automatic enrichment to structure each wine: name, estate, vintage, grape, region, appellation, color, price by the glass, bottle or magnum, bottle image, tasting notes and food pairings. You receive a link to your admin with your digitized list ready for review.

Step 3: you validate and customize

You go through the wine sheets in the admin. If some information is inaccurate (rare), you correct it in one click. You customize the display: your brand colors, logo, section order, which filters to show or hide, and how much detail guests see (price, alcohol, grapes…).

Step 4: QR code and rollout

The QR code of your digital list is generated automatically. You can print it on table stands, add it to your placemats, or order ready-to-use flyers and stickers from us. If you equip your servers with tablets, the Winevizer Tablet iOS/Android app is installed in a few minutes.

Step 5: updates and day-to-day use

Once live, your updates (a price change, a new wine, a stock-out) are instant: 30 seconds per change. You review usage statistics every week to adjust your list (promote the right wines, move the ones that do not sell). The paper version (printable PDF) is regenerated in one click after every major change.

The 4 mistakes to avoid when going digital

1. Trying to do everything yourself at the start

The classic mistake: entering 200 wines by hand, one by one. Allow 5 minutes per sheet to do it properly and that is 17 hours of data entry. Better: send your current PDF to a provider who digitizes it for you (included with Winevizer). You take over at the validation step, not before.

2. Showing everything to your guests

A digital list that displays every field (grapes, alcohol, appellation, sub-region, pairings, notes…) overwhelms the guest. Choose 3 or 4 key pieces of information for your clientele: for a general audience, “estate + price + dish pairing” is enough. Keep the technical details for the detailed sheets that guests open only if they want to dig deeper.

3. Underestimating maintenance

Digitizing makes updates far simpler, but it does not remove them. Plan 30 minutes a month to flag seasonal stock-outs, add new vintages and adjust prices after supplier negotiations. It is negligible compared with reprinting, but it is not zero.

4. Ignoring the statistics

Too many venues go digital and never open the analytics. Yet that is where the real value is. A wine that is viewed a lot but rarely sold points to a problem with its price, its description or its positioning. Insights like these, available in 2 minutes, are often worth more than the yearly cost of the tool.

What it really costs (full total cost of ownership)

The Winevizer price (€24.99 excl. VAT per month or €249.90 excl. VAT per year) is only the visible part. Here is what makes up the real cost for a venue of 50 to 80 covers:

  • Winevizer annual subscription: €249.90 per year excl. VAT.
  • iPad or Galaxy Tab (optional): €200 to 400 spread over 3 years, or €70 to 130 per year. Often unnecessary if you rely on the QR code alone.
  • Initial digitization cost: €0, included in the subscription.
  • In-house maintenance: 30 min × 12 = 6 hours per year. No outside provider needed.
  • Printing: paper lists reprinted after every change are no longer needed, which offsets part of the cost.

The yearly cost therefore comes down to the subscription, plus the tablet if you equip your dining room with one.

With or without the virtual sommelier?

The virtual sommelier is not mandatory. You can digitize your list without activating it (a simple browsable list with filters). When it is on, it guides the guest toward bottles that match their taste better and that are more profitable for you.

See our virtual sommelier page for details on how it works.

Use cases by type of venue

  • Fine-dining restaurant: digitizing helps manage deep lists (500 to 1,500 wines) and an international clientele. The human sommelier keeps the final conversation.
  • Italian restaurant: keep the regional structure (Tuscany, Piedmont…) and introduce guests to Sangiovese and Nebbiolo, less known than Chianti and Prosecco.
  • Brasserie: a single drinks list (wines + beers + spirits + cocktails) with quick filters suited to the pace of service.
  • Hotel restaurant: several points of sale (restaurant, bar, room service, banquets) with one unified digital list.
  • Wine shop: a list that customers browse in store, supported by the virtual sommelier to guide them without tying up a salesperson.

Try it with your PDF

The best way to judge digitization is to test it on your list. Send us your PDF, Excel file or photo and we digitize it within 24 to 48 hours, virtual sommelier included. 1 month free trial, no credit card, up to 50 wines.
